Your backup system stopped working three months ago.

The dashboard still shows "Last Backup: Successful," so everything's fine.

Ransomware Knows Where Your Backups Live

Modern ransomware doesn't just encrypt your production data. It hunts for your backups first.

If your backup server sits on the same network as your production systems: and most do: a single breach can compromise both simultaneously. Attackers specifically target backup repositories because they understand the leverage. Encrypt the backups along with production, and recovery becomes impossible without paying the ransom.

This isn't theoretical. It's standard operating procedure for ransomware campaigns.

The "set and forget" approach typically leaves backup servers exposed on production networks with minimal additional security layers. They're accessible for convenience, which also makes them accessible for compromise. Network segmentation, immutable backup copies, and offline storage aren't part of the initial setup, and they never get added later.

Your backup system needs to assume the production network will be breached. That means air-gapped copies, immutable storage that can't be altered or deleted, and offline backups that aren't accessible from any network connection.

If ransomware can reach your backups, you don't have disaster recovery. You have disaster amplification.

The Compliance Exposure Nobody Mentions

If your business handles sensitive data under regulations like HIPAA, SOC 2, or PCI DSS, neglected backups create legal liability.

These frameworks don't just require that you have backups. They require documented backup procedures, regular testing, recovery capability verification, and audit trails showing consistent execution.

"Set and forget" fails every one of these requirements.

During audits and compliance reviews, you'll need to demonstrate not just that backups exist, but that they work, that they're tested regularly, and that recovery procedures are documented and practiced. Saying "we have automated backups" without supporting evidence creates findings, which lead to corrective actions, fines, and in serious cases, loss of certification.

Your backup system isn't just about recovering from disasters. It's about proving you can recover from disasters.

How to Fix This Before You Need To

The solution isn't complicated, but it does require consistent execution.

  • Establish routine monitoring and testing. Schedule monthly reviews of backup job reports, storage capacity, and coverage scope. Quarterly, run actual restore tests: not just file-level recoveries, but full system restores to verify your RTO and RPO targets are achievable. Make this a calendar event with assigned responsibility, not a "when we have time" task.
  • Implement the 3-2-1-1-0 rule. Keep at least three copies of your data, on two different media types, with one copy off-site, one copy offline or immutable, and zero errors in backup verification. This isn't overkill: it's the minimum threshold for genuine disaster recovery capability. Hybrid approaches combining local backups for quick recovery with cloud or offline backups for catastrophic scenarios give you flexibility without compromise.
  • Update configurations when systems change. Every time you add software, migrate platforms, or restructure operations, update your backup strategy immediately. Create a checklist that ties backup reviews to change management procedures. New systems should never go into production without corresponding backup coverage.
  • Enable proactive alerting for backup failures. Configure your backup system to notify you immediately when jobs fail, storage reaches capacity thresholds, or verification errors occur. Don't wait for scheduled reviews to discover problems. Real-time monitoring turns silent failures into visible issues you can address before they matter.
  • Document recovery procedures and train your team. Your disaster recovery plan should be detailed enough that someone unfamiliar with your systems could execute it successfully. Include step-by-step restoration procedures, required credentials, contact information, and decision trees for different failure scenarios. Run tabletop exercises annually to ensure your team knows what to do when systems are down and pressure is high.
